POSITION: Assistant Coordinator Officer

CLASS: SG-8

REPORTS TO: Transportation Manager

WORK LOCATION: Cilandak Campus

PURPOSE

Under the direction and supervision of the Transportation Manager, the Assistant Coordinator Officer is primarily responsible for maintaining a smooth operation of the teachers/staff buses and taxis.

QUALIFICATIONS

1. Indonesian citizen

2. Bachelor’s degree in computer technology or related field or equivalent experience

3. Proficient in the use of computer technology, specifically Windows environment, Microsoft Applications, including other database software such as ORACLE

4. Excellent written and spoken English and Indonesian

5. A minimum of 3-5 year’s experience in the transportation field, including experience in establishing bus routes and planning schedules

6. Ability to maintain confidentiality of information

7. Able to work independently and in a timely manner

8. Excellent problem solving abilities, communication and supervision skills

9. Pleasant, mature, patient and calm under pressure

10. Has a valid Indonesia driving license

11. Willing to work long hours/including weekends, according to operational needs

DUTIES AND RESPONSIBILITIES

1. The Assistant Coordinator Officer meet with the Transportation Manager on a regular basis to discuss problems, situations, etc, and to make plans, organizes and implements transportation services

2. Maintain records, organize and analyze data, and prepare reports and statistical analyses

3. Teachers and Staff Bus

a. Creates/set up a well organized program

b. Recommends guidelines/procedures for bus drivers and bus/taxi riders

c. Administers “yearly surveys” and re-enrollments of teacher/staff

d. Assigns teachers/staff bus to busses and/or taxis

e. Prepares bus/taxi schedules and routing

f. Arranges driver’s schedules for daily routine operation during school hours

g. Adjusts bus/taxi lists, routes/time schedule accordingly

h. Arranges bus test runs

i. Prepares monthly report on bus use of both teachers/staff buses and taxis riders

j. Notifies teacher/staff/provider/drivers of any changes

k. Keeps and updates teachers/staff computerized data base

l. Responds on problem regarding teachers/staff bus/taxi handling

m. Keeps/maintains and controls credit slips for taxi use

n. Recommend drivers for TS buses: regular, US Embassy, CIL, PIE, and PEL

o. Prepares and distributes teachers/staff bus schedule and handbooks

4. Daily Supervision

a. Recommends daily bus operational/driver’s procedures and guidelines

b. Holds regular meetings with drivers and provider’s Liaison Officers

c. Keeps all offices informed about the bus-schedule

d. Supervises arrivals/departures of buses/taxis

e. Prepares/maintains updates bus folders

f. Maintains/checks daily bus changes

g. Maintains/checks driver’s daily attendance and changes

h. Responds on problem regarding bus operation

i. Supervises bus routings for external JIS mail

5. Non-Regular Bus

a. Arranges/provides busses for non-regular use for teachers/staff, i.e.: field trips, use on holidays, summer schools, school parties, new overseas hire teachers, conferences, etc

b. Responds on problems regarding non-regular bus use

6. Establish and maintain cooperative, positive relationships with those involved in the course of work

7. Learn and apply pertinent JIS and school policies, rules, regulations with good judgment in a variety of situations

8. Perform other duties as assigned by the Supervisor

Other: JIS employees will be given priority.
